Section 1: Course Rescheduling & Cancellation Policy
This policy covers how Dive Arizona handles rescheduling, cancellations, refunds, and no-shows for scuba courses. Students should contact us as soon as possible if they need to make changes, as course schedules are limited and last-minute changes may not always be possible to accommodate.
Rescheduling
- Two weeks' notice is required to reschedule without a fee.
- Requests made within two weeks of the scheduled course date may incur a rescheduling fee up to the full cost of the instructor's fees for the affected session(s).
- Reschedules are subject to instructor availability and course capacity.
- For illness, injury, or a real emergency, we will work with you to find a reasonable option, so please reach out as early as possible.
No-Shows & Late Arrivals
- No-calls and no-shows are not eligible for a refund. They may be eligible for a reschedule at an additional cost.
- Late arrivals may or may not be able to participate in that session. Participation is at the instructor's discretion.
- If a student cannot complete the session due to a late arrival, a make-up session may be required (at an additional cost) before continuing with the remainder of the course.
Weather, Safety & Instructor Judgment
- If weather, water conditions, equipment issues, safety concerns, or instructor judgment require postponing a session, we will reschedule students to the next available option at no additional cost.
- Partial refunds may be available depending on what portion of the course has been completed and any third-party costs already incurred. Contact your instructor or a manager for details.
Cancellations & Refunds
- Courses canceled more than two weeks before the start date may be eligible for a partial refund. All fees paid minus the cost of any e-learning code(s) activated will be considered.
- Cancellations within two weeks of the course date may not be eligible for a full refund.
- If a course includes travel, resort fees, boat fees, park entry, or other third-party costs, those costs are non-refundable once paid.
E-learning codes are non-refundable once revealed or accessed, without exception. Training materials and other third-party costs are also always non-refundable once paid.
How to Request a Refund
Email your request to training_travel@DiveArizona.com and include the following:
- Your full name and the course name
- Your scheduled course date(s)
- Your best phone number
- A brief reason for the request
How to Reschedule a Course
- Contact us with your name, course name, original date(s), and preferred new date(s).
- If the request is more than two weeks out, we'll reschedule at no charge (subject to availability).
- If the request is within two weeks, a rescheduling fee equal to the instructor's pay for the affected session will apply.
- Once a new date is confirmed and any applicable fee is settled, we'll update your schedule.
- If no matching date is currently available, we'll escalate to Amanda or Liz to coordinate options.
Section 2: Product Refunds & Exchanges
This policy applies to all retail gear and equipment purchases made at Dive Arizona. Course fees are governed by Section 1 above.
Return & Exchange Conditions
To qualify, all items must meet every condition below:
- In original, undamaged packaging with all tags, manuals, and accessories included
- In brand new, unused condition
- Never used in or exposed to water
- Accompanied by a receipt or proof of purchase
- Returned within 30 days of purchase
Approved refunds are issued to the original payment method. All approved returns are subject to a 15% restocking fee, which is deducted before the balance is refunded. Allow 3-5 business days for the refund to appear.
Wetsuits
Wetsuits must be returned with tags still attached and in original condition. Once a wetsuit has been worn on a dive, it is no longer eligible for return or exchange. No exceptions.
Non-Returnable Items
The following cannot be returned or exchanged under any circumstances:
- Camera & imaging equipment. All camera sales are final.
- eLearning codes & digital certification materials
- Any item that has been submerged or shows signs of use
- Special or custom orders
- Sale and clearance items
- Rental equipment. Rental fees are non-refundable.
How to Return an Item
Bring the item to the shop with your original receipt within 30 days of purchase. Our team will inspect the item and, if approved, the 15% restocking fee will be deducted and the balance refunded to your original payment method.
All refund or exchange decisions outside of this policy require additional approval. Contact training_travel@DiveArizona.com for assistance.
Section 3: Group Dive Travel Policy
Dive Arizona organizes group dive trips, both local (San Carlos, Mexico) and international (Roatan, Fiji, Caribbean), led by our own instructor-owners. By booking a spot on any Dive Arizona trip, you agree to the terms below.
All deposits and payments are non-refundable. No exceptions. Once a payment is made, it cannot be returned regardless of the reason for cancellation. Travel insurance is strongly recommended to protect your investment.
Payment Schedule
Payment schedules vary by trip. See the individual trip listing for full payment details. Spots are not held without a paid deposit. Deposit amounts also vary by trip.
Certification Requirements
-
Although an SDI Open Water certification or recognized agency equivalent is the minimum requirement to join and participate in scuba on any trip, many of our trips do welcome non-divers.
- If additional certifications are required for a specific trip, these will be noted in the individual trip listing.
- Some trips are designed for more experienced divers, so check the specific trip listing for the recommended experience level.
Travel Insurance
Travel insurance is strongly recommended for all trips. Because all payments are non-refundable, a good dive travel insurance policy is your best protection against unexpected illness, travel delays, trip cancellation, lost gear, and dive accidents. We recommend plans through DAN (Divers Alert Network) or DiveAssure, both of which offer dive-specific coverage including medical evacuation. Purchase your policy at the time of your deposit for the broadest coverage.
If Dive Arizona Cancels or Modifies a Trip
- If Dive Arizona cancels a trip due to circumstances within our control (insufficient enrollment, for example), participants will receive a full credit toward any future Dive Arizona trip.
- If a trip is modified or cancelled due to circumstances outside our control, including weather, natural events, resort or liveaboard closures, government travel advisories, or force majeure, Dive Arizona will work with participants and resort partners to find the best available resolution, but cannot guarantee a refund of third-party costs already paid.
- Dive Arizona is not responsible for airfare, visa costs, or other independent bookings made by participants.
Behavior & Safety
- All participants are expected to follow dive safety standards, listen to briefings, and dive within their certification limits.
- Trip leaders have final authority on all in-water safety decisions. Their judgment is not subject to override by schedule pressure, personal preference, or financial considerations.
- Participants who demonstrate unsafe behavior or disregard for group safety may be removed from diving activities at the trip leader's discretion, with no refund for unused diving.
